The SOP Playbook
Capture a process in minutes and never explain it twice.

An SOP is not paperwork. It is how you get out of the weeds and how your business keeps running when you step away. The trick is to make them fast to create and impossible to ignore.
1. Why SOPs are your exit from the weeds
Every process that lives only in your head is a task only you can do. Write it down once and it becomes a task anyone on your team can own. SOPs are how a founder-dependent business becomes a real one.
2. Record, do not write
The fastest SOP is a screen recording with narration while you do the task once. Talk through what you are doing and why. A short video plus a few bullet points beats a polished document nobody reads.
3. The anatomy of a good SOP
Keep it simple and repeatable. Anyone should be able to follow it without asking you a question.
- The outcome: what this process produces
- The trigger: when it runs
- The steps: numbered, in order, with links
- The check: how to know it was done right
4. Store them where the work happens
An SOP in a folder nobody opens is worthless. Keep them in the same workspace where the tasks live, one click from the work, so they get used instead of forgotten.
5. Keep them alive
Processes change. Make updating the SOP part of doing the work, so it never goes stale. The person running the process is the person who should keep it current.
